Since 2016, the West Flemish hospital AZ Sint-Rembert Torhout has been using Merak’s archive services. Thanks to the transfer of the passive archive from the hospital to the Merak branch in Schelle, AZ Sint-Rembert gained around 185 m² of space. This freed-up space is now used for consultations and endoscopic examinations. The hospital is more than happy that it opted for an external partner.

With 211 beds, six hundred employees and seventy doctors, the AZ Sint-Rembert is a regional hospital where people from the Houtland region can go for all types of specialisations.
Hospitals are required to keep patient records for 30 years after death. So all these files took up a lot of space.

At just the right time

Just at that time, Merak introduced its services to the hospital. “They arrived at just the right time”, says Jurgen Blauwet. “Their proposal perfectly met our needs: We have full control of the archive and a perfect view of it. It is secure, completely confidential and well protected against, for example, fire, theft and humidity. These are important prerequisites for us to be compliant with our accreditations."

Smooth move

Moving the passive archive from the hospital to the Merak branch in Schelle also went very smoothly. Jurgen Blauwet: “Full integration began in December 2016 and, in three weeks, the entire move was completed. In doing so, the hospital used Merak's assistance service, so we didn’t have to do anything ourselves. The staff at Merak moved everything, I just had to say where everything was exactly. Then I went to Schelle to see where everything was stored."

Files retrieved within 24 hours

“It happens from time to time that we have to request some files. Merak guaranteed us that it would take up to 24 hours for a file to get back to the hospital, and Merak were true to their word. For us, it is extremely important that our archive is available at any time. Through the central e-mail address, Merak gives us that smooth service. On the day itself I get an answer and the next day the file is in our hands again."

Upgrade to Merak Inventory Online (MIO)

“We are very satisfied with the service at Merak. That’s why we will soon be switching to Merak Inventory Online, Merak’s online management application. This makes it even easier for us to manage our records. After processing our files, Merak gave us an Excel file containing all the data. But thanks to Merak Inventory Online, it becomes even easier for us to search our archive. After the upgrade, we also have more options to add elements."
